Privacy Policy
Effective Date: October 6,2026
Hedberg Institute (“Hedberg Institute,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit hedberginstitute.com, request free educational resources, create an account, purchase or participate in a course or certification program, join a practitioner community, attend a live session, contact us, or otherwise use our websites, programs, and services (collectively, the “Services”).
This policy replaces the prior Hedberg Institute privacy policy and reflects the current website, course-delivery, payment, email, analytics, and practitioner-education functions of the Services.
1. Information we collect
The information we collect depends on how you interact with the Services.
Information you provide directly
Contact information, such as your first and last name, email address, phone number, mailing or billing address, and country.
Professional information, such as your practice or company name, profession, credentials, or other information you choose to provide in connection with practitioner education or certification.
Account information, such as login credentials and information associated with your Hedberg Institute account.
Purchase and transaction information, such as products or programs purchased, payment status, discount codes, billing details, refunds, and transaction history.
Course and certification information, such as enrollment, lesson or module completion, quiz or exam results, certification status, and certificates issued.
Communications and support information, including emails, support requests, survey responses, feedback, and information you submit in forms.
Community and live-session information, including content you voluntarily post or share in practitioner communities, Q&A sessions, case discussions, Zoom meetings, or other interactive features.
Marketing preferences, such as whether you have subscribed to or unsubscribed from promotional email.
Payment information
Payments are processed by third-party payment processors such as Stripe. When you enter credit or debit card information, the payment processor receives and processes the card data. Hedberg Institute generally receives transaction details such as your name, billing information, payment status, amount paid, and limited payment-method information, but does not need to store your complete payment card number or security code on its own systems.
Information collected automatically
When you use the Services, we and our service providers may automatically collect technical and usage information, including:
Internet Protocol (IP) address and approximate location derived from the IP address;
browser type, device type, operating system, and device or browser identifiers;
pages viewed, links clicked, referring pages, dates and times of visits, and time spent on pages;
login, session, security, and diagnostic information; and
information collected through cookies and similar technologies.
Information we receive from service providers
We may receive information from service providers that help us operate the Services. For example, a payment processor may confirm that a payment succeeded or failed, and our website or course platform may provide account, enrollment, email-delivery, or usage information.
2. How we use personal information
We may use personal information to:
provide, administer, personalize, and improve the website, courses, certification programs, communities, and other Services;
create and manage accounts, enrollments, purchases, course access, assessments, certificates, and practitioner resources;
process payments, refunds, billing, taxes, and payment-plan administration;
send purchase confirmations, account notices, course communications, security alerts, support messages, and other service-related communications;
respond to questions, support requests, and other communications;
send newsletters, educational updates, product information, and marketing communications when permitted by law;
understand how visitors and practitioners use the Services and improve content, usability, and program design;
protect accounts, prevent fraud and abuse, enforce our Terms and Conditions, and maintain the security and integrity of the Services;
comply with legal, tax, accounting, regulatory, and recordkeeping obligations; and
establish, exercise, or defend legal claims and protect the rights, safety, and property of Hedberg Institute, our users, or others.
3. Cookies, analytics, and similar technologies
The Services may use cookies, pixels, web beacons, local storage, and similar technologies. These technologies can help keep you logged in, remember preferences, operate checkout and account functions, measure website performance, understand how content is used, and support communications or marketing.
Cookies may include:
Essential cookies required for security, account access, checkout, or core website functionality;
Functional cookies that remember settings or preferences;
Analytics cookies that help us understand website and course usage; and
Marketing or advertising technologies, if enabled, that help measure campaigns or deliver more relevant communications.
You can control cookies through your browser settings and, where available, through the cookie or privacy controls presented on our website. Blocking certain cookies may affect account, checkout, course, or website functionality.
4. Email and marketing communications
If you request a free resource, subscribe to a newsletter, create an account, purchase a program, or otherwise provide your email address, we may send communications related to your request, purchase, account, course, certification, or other Services.
We may also send educational or promotional emails where permitted by applicable law. You can unsubscribe from marketing emails at any time by using the unsubscribe link in the message. Unsubscribing from marketing does not prevent us from sending necessary transactional, account, billing, security, certification, or service-related communications.
5. Practitioner communities, case discussions, and patient information
Some Hedberg Institute programs include practitioner forums, Signal groups, Zoom sessions, Q&A discussions, or other interactive learning features. Information you voluntarily share in these settings may be visible to other authorized participants, depending on the feature.
Do not submit or disclose patient names, exact dates, contact information, medical-record numbers, photographs, or other information that could reasonably identify a patient.
The Services are educational platforms and are not intended to function as an electronic health record or a repository for protected health information. Practitioners are responsible for de-identifying case material and complying with applicable privacy, confidentiality, professional, and legal obligations.
Third-party communication platforms that you choose to use, such as Zoom or Signal, process information under their own terms and privacy policies.
6. How we disclose personal information
We may disclose personal information in the following circumstances:
Service providers
We use service providers to help operate our business and deliver the Services. Depending on the services we use, these providers may include website and course-hosting platforms, email and marketing-automation providers, payment processors, analytics providers, cloud or data-storage providers, customer-support tools, video-conferencing or communication services, and professional advisers.
For example, the current website and course environment may use Systeme.io for website, funnel, account, course, email, and marketing-automation functions, and Stripe for payment processing. These providers process information according to their own agreements, privacy policies, and applicable data-protection obligations.
Legal, safety, and compliance reasons
We may disclose information when we reasonably believe disclosure is required by law, subpoena, court order, legal process, or governmental request; to investigate or prevent fraud, abuse, security incidents, or unlawful activity; to enforce our agreements; or to protect the rights, safety, and property of Hedberg Institute, users, or others.
Business transfers
If Hedberg Institute is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, personal information may be transferred as part of that transaction, subject to applicable law.
With your direction or consent
We may disclose information when you ask us to do so, authorize the disclosure, or intentionally use a feature that requires disclosure to another person or service.
7. Sale and sharing of personal information
Hedberg Institute does not sell personal information for monetary compensation. Some privacy laws use terms such as “sell,” “share,” or “targeted advertising” broadly enough to include certain advertising or tracking technologies. If we use technologies that trigger those definitions, we will provide the notices and opt-out choices required by applicable law.
8. Legal bases for processing where applicable
If privacy law in your jurisdiction requires a legal basis for processing personal information, our bases may include performance of a contract or steps taken at your request; our legitimate interests in operating, securing, and improving the Services; compliance with legal obligations; and your consent where consent is required. Where processing is based on consent, you may withdraw consent at any time, subject to applicable law.
9. Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including to provide the Services, maintain account and certification records, complete transactions, resolve disputes, enforce agreements, and satisfy tax, accounting, legal, and regulatory obligations.
Retention periods vary by the type of information and the reason it was collected. We may retain limited records after account closure or a deletion request when required or permitted by law, including transaction, fraud-prevention, certification, legal, or compliance records.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. We also rely on established third-party providers for functions such as payment processing and platform hosting. However, no website, transmission, storage system, or security measure can be guaranteed to be completely secure.
You are responsible for maintaining the confidentiality of your account credentials and for notifying us promptly if you believe your account has been accessed without authorization.
11. Your privacy choices and rights
Depending on where you live and subject to applicable exceptions, you may have rights regarding your personal information, including the right to request access, correction, deletion, a copy of your information, restriction or objection to certain processing, withdrawal of consent, or an appeal of a privacy-rights decision. You may also have the right to opt out of certain targeted advertising, sale, or sharing practices where those laws apply.
You may unsubscribe from marketing email through the unsubscribe link in any marketing message. You may control many cookies through your browser or available website cookie controls.
To submit a privacy request, email hello@hedberginstitute.com. We may need to verify your identity before completing a request. You may use an authorized agent where applicable law permits it.
12. U.S. state privacy disclosures
Residents of certain U.S. states may have additional privacy rights under state law. These rights can include access, correction, deletion, portability, and the ability to opt out of certain uses or disclosures of personal information. The availability and scope of these rights depend on the law that applies to you and whether Hedberg Institute is subject to that law.
We will not discriminate against you for exercising a privacy right that applies to you. If a law requires a method to appeal our response to a request, you may submit the appeal using the same contact information below.
13. International visitors and data transfers
Hedberg Institute is based in the United States. Our service providers may process information in the United States and other countries. Those countries may have privacy laws that differ from the laws where you live.
Where required, we and our service providers use appropriate mechanisms or safeguards for international transfers of personal information. Residents of the European Economic Area, United Kingdom, Switzerland, and other jurisdictions may have additional rights under local law.
14. Children and minors
The Services are designed for adults and professional education and are not directed to children. We do not knowingly collect personal information from children under 13, and we do not knowingly enroll minors in professional certification programs. If you believe a child has provided personal information to us, please contact us so we can review and, where appropriate, delete it.
15. Third-party websites and services
The Services may contain links to or integrate with third-party websites, applications, or services. Their privacy practices are governed by their own policies, not this Privacy Policy. We encourage you to review the privacy information provided by any third-party service you use.
16. Changes to this Privacy Policy
We may update this Privacy Policy as our Services, technology, vendors, or legal obligations change. We will post the revised policy on the website and update the effective date. If a change is material and applicable law requires additional notice or consent, we will provide it in an appropriate manner.
